Age Restrictions

 All entrants must go to event registration to verify age including all Children and Youth entries.

The 5km race has a minimum age of 8 years old on the day of the event unless running with an adult caregiver.

The 12km race has a minimum age of 12 years on the day of the event unless running with an adult caregiver.

The 21km race has a minimum age of 15 years on the day of the event.

If your child does not meet these age limits but you would like them to run with you please email amy@elementevents.co.nz

Refunds / Transfers / Category Changes

If you need to withdraw your entry no refunds or transfers to future events will be offered. While not mandatory, we would recommend you can take advantage of the XCOVER option when making your online event entry.

XCOVER BOOKING INSURANCE

Protect your entry fee by covering yourself with XCover when you’re doing your online entry.

When making your online entry, you’ll be given the option to take out refund protection during the online registration process. Those that opt for protection will be instantly protected against unforeseen circumstances which include things such as accident, injury, illness, death, and transportation issues. XCover does not cover a change of mind. All customer refund requests are managed and handled by XCover.

XCover must be purchased at time of entry. It can not be added at a later date.

TRANSFERS

You can transfer your entry to another person up until midnight 31 May at no charge. After this time there will be a $20 administration charge. Transfer of entry to another person is not allowed after Wednesday 12 June at midnight.

How to transfer your entry

Note that proof of ID may be required at event registration.

CATEGORY CHANGES

You may change your race distance up until the 31 May with no fees charged. Do this by clicking on your entry link from your email confirmation.

If you wish to change your distance after 31 May, please just do so at the event. There is no need to email us. Please note that you may not receive a personalised race bib if you change your distance within 3 weeks of event date.

XCover Booking Protection

Making a claim with XCover

Go to xcover.com/claim to start your claim. Our claims team prioritises those claims that are filed within 7 days of the claim event. Claims must be submitted within 45 days of the booked event.

Provide a detailed description of the event.

For all claims we require, as a minimum, a detailed description of the event. We may request documents during the claim process such as booking invoices and receipts. If required documents are not provided to us the claim may be rejected or the status changed to “Pending”.

Please read this policy carefully before entering.

Element Events has been running quality events in NZ for 22 years and we are committed to doing everything in our power to deliver a well organised, fun and safe event for everyone. However there are some factors (beyond our control) that in extreme circumstances may mean that we have to cancel or modify the event. Historically the main threat was a major storm event involving high winds, but recently Covid-19 has become an additional factor.

Element Events Limited – Terms and Conditions of Sale

Element Events Limited (Organiser) organises and provides events to participants throughout New Zealand, including providing tickets for entry into those events. By purchasing a ticket for an event organised and provided by the Organiser, you agree to be bound by these Terms and Conditions. Please read them carefully.

IF THE ORGANISER HAS TO CANCEL/DELAY/ALTER THE EVENT.

The Organiser will not be liable for any failure/delay/alteration of the event for which you have purchased a ticket if: The failure/delay/alteration arises directly or indirectly from an event or circumstance unforeseeable or reasonably beyond the Organiser’s control and not arising from the insolvency, or an intentional act or omission, of the Organiser (force majeure event). A force majeure event includes, but is not limited, to the following:

Act of God;

earthquake, flood, fire, storm and adverse weather conditions or natural events for which provision could not reasonably have been made;

interruption or failure of any utility services;

unpredictable delays which could not reasonably be prevented in delivery of materials, equipment or services;

sabotage, riot, civil disturbance, explosion, terrorist acts, epidemic, pandemic, national emergency, or act of war;

governmental restraint, sanction, expropriation, prohibition, intervention, direction or embargo strike, lockout, work stoppage or other labour hindrance; and

If the Organiser wishes to rely on clause (1) above, it will:

give you written notice as soon as possible after becoming aware of a force majeure event or likelihood of a force majeure event;

in that notice, provide details of the nature, expected duration and effect of the force majeure event; and

keep you informed of any material changes in the nature of the cause and of the cessation of the force majeure event.

Due to the committed costs of organising events, if a force majeure event occurs, the Organiser may, in its sole discretion:

provide a partial refund for ticket(s) purchased; or

postpone the event and transfer the tickets to an alternative date; or decline to provide any refund.

IF A FORCE MAJEURE OCCURS, AND ELEMENT EVENTS HAS TO CANCEL THE EVENT, THE FOLLOWING TABLE INDICATES THE LIKELY REFUND PER PERSON.

Note that these estimated refund figures are minimum and the organisers will strive to be as fair and reasonable as possible with refunds if the event has to be cancelled.

Group Discounts

If you have a group of ten or more you are welcome to a 10% discount off all entries. Please email amy@elementevents.co.nz with a list of your group to get your code.

NB code can not be used retrospectively, it must be used at time of entry.
